General Terms and Conditions for the IGC Invest Geothermal Conference 2026

The following General Terms and Conditions of Enerchange GmbH, Schulstraße 7, 82166 Gräfelfing, apply to the IGC Invest Geothermal Conference 2026, taking place from 17 to 18 June 2026. Enerchange GmbH is responsible for the organization and execution of the IGC Invest Geothermal Conference (hereinafter referred to as the “Conference”).

1. Conclusion of Contract

1.1 Participant registration may be submitted via an online registration form, by letter, fax, email, or telephone. In the case of online registration, clicking the button “Register with obligation to pay” constitutes a binding registration for the event displayed. Confirmation of receipt of the registration is sent via automated email immediately after submission and does not yet constitute acceptance of the contract.

1.2 By registering, the participant accepts the validity of these participation conditions.

1.3 Registration is confirmed and becomes legally binding upon issuance of an invoice (by email or post) to the specified billing address. Registrations are generally processed in the order in which they are received.

1.4 Authorization to participate in the IGC Invest Geothermal Conference requires receipt of the participation fee. In the case of registration shortly before the start of the Conference, payment may also be made on site by credit card (plus a 5% card processing fee).

1.5 If a registration cannot be accepted by the organizer, the participant will be informed without delay.

1.6 The organizer and participants undertake to comply with the applicable statutory health regulations.

2. Services

At the price valid at the time of registration, the participant acquires the right to attend the Conference, including catering during the booked events. The organizer will provide a diverse conference program to the extent possible. Program changes may also occur at short notice. Subject to approval by the speakers, presentations will be made available digitally within the first two weeks after the event. Access details for the password-protected website will be sent by email to the address provided during registration.

3. Prices

The conference fees for the IGC Invest Geothermal Conference 2026 are as follows:

Special prices or discounts offered by event partners apply in addition to the above regulations and may not be combined with one another.

► Entitlement to a reduced price applies to representatives of municipalities, authorities, and municipal associations, as well as students enrolled at a university (proof required), until 10 June 2026. Reduced prices may not be combined with other discounts or reductions.

► All prices include the currently applicable statutory value-added tax (VAT). VAT must also be paid by international participants in accordance with legal requirements.

► A surcharge of 5% will be applied for on-site payments by credit card.

► These discounts are only valid if payment is made within two weeks of receipt of the invoice.

4. Invoicing and Payments

The participation fee is due upon registration upon receipt of the invoice, prior to the start of the event, and within 14 days. If payment is not made within the applicable payment period, the participant will receive a reminder after 21 days, including a reminder fee of €5. Invoice corrections due to incorrect information provided during registration will be charged a processing fee of €50. Additional effort required for completing or providing further documents will be charged at an hourly rate of €100, based on time spent.

The invoice amount must be paid by bank transfer, quoting the invoice number. Discounts will lapse if payment is delayed by more than one month after the invoice date.

5. Withdrawal by the Participant

5.1 The consumer’s right of withdrawal (see Section 6) exists in addition to the right of withdrawal regulated below.

5.2 Withdrawal from the event is possible. For withdrawals up to 9 June 2026, cancellation fees of €100 will be charged. Cancellation fees apply from the date the invoice is issued. In the case of withdrawals from 10 June 2025 onwards, the full invoice amount must be paid.

5.3 Withdrawal must be declared in writing. The decisive factor for meeting the deadline is receipt of the withdrawal declaration by the organizer.

5.4 Termination of the contract after the start of the event is not possible.

5.5 The nomination of a substitute participant is possible, provided the nomination is received by 9 June 2026. Otherwise, a processing fee of €100 will apply.

6. Consumer Right of Withdrawal

Consumers within the meaning of Section 13 of the German Civil Code (BGB) have a right of withdrawal in addition to the withdrawal provisions in Section 5:

You may revoke your contractual declaration within 14 days without giving reasons in text form (e.g. letter, fax, email). The period begins upon receipt of this notice in text form, but not before the conclusion of the contract and not before fulfillment of our information obligations pursuant to Article 246 § 2 in conjunction with § 1 paragraphs 1 and 2 EGBGB and our obligations pursuant to § 312g paragraph 1 sentence 1 BGB in conjunction with Article 246 § 3 EGBGB. Timely dispatch of the withdrawal is sufficient to meet the withdrawal deadline.

Consequences of Withdrawal

In the event of an effective withdrawal, the services received by both parties must be returned and any benefits derived (e.g. interest) surrendered. If you are unable to return or surrender the received service and benefits (e.g. usage advantages), in whole or in part, or only in a deteriorated condition, you must compensate us for the value thereof.

This may result in you nevertheless having to fulfill the contractual payment obligations for the period up to withdrawal. Obligations to refund payments must be fulfilled within 30 days. The period begins for you upon dispatch of your withdrawal declaration and for us upon receipt thereof.

Special Notes

Your right of withdrawal expires prematurely if the contract has been fully performed by both parties at your express request before you have exercised your right of withdrawal.

7. Cancellation and Modification of Events by the Organizer

7.1 The organizer may cancel the event for good cause, in particular due to an insufficient number of participants to cover costs or due to force majeure. Participants will be informed without delay and any fees already paid will be refunded in full. Further claims are excluded subject to Section 9.

7.2 The organizer is entitled to change speakers or reschedule the program for valid reasons, e.g. cancellation by a speaker, provided this is reasonable for participants.

7.3 Depending on the number and interests of participants and the number of advance registrations, the organizer may adjust, shorten, or cancel individual events. Changes to the program or cancellation of speakers do not entitle participants to a refund of the conference fee, in whole or in part.

8. Termination by the Organizer

The organizer may terminate the contract with a participant for good cause, e.g. if the participant persistently disrupts the event or fails to make payment by the due date despite a reminder. There is no entitlement to a refund of fees already paid.

9. Liability

The organizer is only liable for damages resulting from intentional or grossly negligent breaches of duty by the organizer, its legal representatives, or its vicarious agents. This does not affect liability for injury to life, body, or health, for breaches of essential contractual obligations, or under the Product Liability Act. Essential contractual obligations are those whose fulfillment is necessary to achieve the purpose of the contract and on whose compliance the contractual partner relies and may regularly rely. In the event of a breach of essential contractual obligations, liability for damages is limited to the typically foreseeable damage, provided the breach was not caused intentionally or by gross negligence, unless claims arise from injury to life, body, or health.

No liability is assumed for COVID-19 infections occurring during the conference. The organizer undertakes, together with its partners, to comply with official regulations.

10. Data Protection

The participant’s data and/or the data of the contractual partner or its representative will be stored electronically and processed automatically by the organizer exclusively for the purpose of conducting the IGC Invest Geothermal Conference, unless explicit consent is given for another specific use and/or processing of the data. Use also includes the transfer of data to authorized third parties. Data will not be passed on to unauthorized third parties. Participation confirmations may also be sent by unencrypted email; it cannot be excluded that such emails may be read by third parties.

After the event, participant data will be used for advertising and marketing purposes for future events.

11. Copyright

Conference materials and any software used are protected by copyright. Copying or forwarding to third parties is only permitted with the prior consent of the copyright holder and the organizer.

12. Image Rights

As part of the IGC Invest Geothermal Conference, a photographer will be commissioned to take photographs. In addition, the event will be recorded in image and sound. The images will be used after the event for advertising and marketing purposes for future events. This is permissible under Section 23 of the German Copyright Act (KUG), including for images of persons participating in public events. If you do not agree with publication, please inform us in writing.

13. Contract Term

The term of the contract begins on the first day of the event and ends on the last day of the event (= minimum contract term).

14. Severability Clause

Should individual provisions of these terms and conditions be or become invalid, the validity of the remaining provisions shall remain unaffected.
